Submit a Fleet Usage Report

Participants in the New York Truck Voucher Incentive Program (NYTVIP) demonstrate a commitment to cleaner, advanced vehicle technologies. The vehicles purchased as part of this program will help improve New York State’s air quality while promoting advances in sustainable transportation. Twice a year, participants are required to submit fleet usage reports so NYSERDA can document the use, emissions changes and operating costs of NYTVIP-funded vehicles. Individual fleets’ information will not be made available to the public and is intended solely for NYSERDA’s tracking of program analytics.

What is a fleet usage report?
A fleet usage report is a brief, online form with several basic questions about your vehicle operation experience, including information on vehicle mileage, fuel use, maintenance, and vehicle location.

Who is required to file a fleet usage report?
All fleets that have received vehicle vouchers through NYTVIP must submit fleet usage reports for five years following purchase or lease (ten report periods) for each vehicle funded through the Program. Fleets that have leased vehicles purchased with vouchers are responsible for providing timely and accurate reports.

Failure to submit a fleet report is a violation of the terms and conditions of the NYSERDA funding. Failure to submit the report may result in NYSERDA’s involvement, the revocation of any voucher funds paid, and a ban from any further participation in the program.

When are fleet usage reports due?
Fleet usage reports are due twice per year for three years following voucher payment for a particular vehicle. Data will be collected for the half-year periods ending May 30 and November 30, and NYSERDA will remind fleets to submit reports each June and December.

How do I submit a fleet usage report?
Access the online Fleet Usage Report form and answer the questions. To complete out the form, you will need:

  • Vehicle Identification Numbers (VINs) for your purchased vehicles
  • Drive cycle, range, and location information
  • Fuel consumption and mileage information
  • Maintenance downtime and cost information
  • Infrastructure or capital investment information (e.g., in fueling facilities)

Fleets that have purchased all-electric vehicles will also need to report driver feedback.
