Event Coordinator, Events Management - Albany Office

 

The New York State Energy Research and Development Authority (NYSERDA) is seeking a qualified and motivated professional to join the Events Management team as an Event Coordinator. The successful candidate would take on an important role in working closely with NYSERDA’s executive staff as well as the Events Management and Communications teams. The selected individual would be required to travel frequently and be comfortable navigating all areas of New York State, including New York City and Long Island. The individual would assist in key assignments important to the successful execution of NYSERDA’s events. This position reports to the Senior Project Manager, Events.

Primary Responsibilities

  • Assist Events Senior and Project Managers with tasks associated with the successful execution of event management including but not limited to:
    • the processing of contract agreements and payments through the NEIS finance system
    • inventory, coordination, and preparation of event materials
    • posting of events and speaking engagements on NYSERDA’s events calendars
    • coordinate current and upcoming events with Social Media Manager
    • travel to and from event locations to assist with event support and logistics
    • coordinate comprehensive post event follow up to completion
  • Become proficient in Cvent event management software used to support and manage all NYSERDA event-related activity, including speaking engagements for NYSERDA’s President and CEO, executive, and program staff
  • Provide support for NYSERDA’s virtual events and webinars
  • Assist to investigate, identify, and pursue potential valuable events to support NYSERDA’s mission and programs
  • Suggest and implement recommendations for improvements in processes, planning, and project management
  • Demonstrate a continual effort toward learning about NYSERDA’s strategies, initiatives, and program offerings
  • Provide transportation to the President and CEO to various destinations across New York State and neighboring states to support events, speaking engagements, meetings, and other business events as schedules dictate
  • Provide on location support for President and CEO and coordinate status updates, social media, and other communication with Social Media and Communications Managers
  • Research and plan for traffic, construction, and weather delays, and arrive at destinations on schedule
  • Maintain and interact with a professional demeanor at all times
  • Perform other responsibilities as assigned

Minimum Qualifications

  • 2 years of relevant experience in project coordination and/or related responsibilities
  • A valid driver’s license and at least one year of driving experience
  • Excellent navigation skills and proficiency in using navigation applications with the ability to understand a map
  • Professional, courteous, and trustworthy while maintaining a sense of pride in work
  • Time management skills to ensure travel in a safe and efficient manner and stay on schedule
  • Ability to anticipate and articulate needs in advance, propose solutions, and react positively to challenges
  • Dependability with a strong work ethic and flexibility to respond to revised schedules
  • Strong professional integrity with ability to protect sensitive or confidential information
  • Ability to effectively interact with people of diverse professional levels and cultural backgrounds
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, etc.)
  • Strong interpersonal, written, and verbal communication skills, ability to write professional and concise emails
  • Well organized, able to work independently, excellent attention to detail, and strong critical thinking skills
  • Ability to frequently travel across New York State, at times with short notice
  • An associate degree

Salary

The salary range is $64,718 - $88,553. Candidates will be considered based on qualifications and experience. An excellent benefits package is offered.
